What is the first thing you do when the media calls? Most people don’t know how to answer that question. As a result, they may miss an opportunity for some earned media. Here are seven tips to help you the next time you answer the phone, and there is a reporter on the other end of the line.

1. Do not Panic.

Most reporters are just doing their job. They want to be fair and accurate. Ask who they are, the name of their publication, why they are calling and what their deadline is. They are likely working on what is known as a daily story. That means the story has to be filed that same day. You must not dilly dally about getting back to them. The story is going to run with or without you. Responding fast will go a long way toward building a positive relationship and help position you for the future as the go-to source for reliable quotes related to your industry.

2. Be respectful.

There will not be a second chance. Everything you say while talking to a reporter is fair game and could wind up in print or on the 6 o’clock news. Imagine how embarrassing it will be and how much damage you could do by providing an inaccurate or flippant response. Preparation is key. If you are not the person to respond, let the reporter know you need some time. Then find the right person and make sure he or she is…
